Results from the 12.14.2020 Board Meeting

I wanted to take a couple minutes to share with you what we accomplished in this week's Encore School Board meeting so we can all be on the same page. We are working very hard to make sure that we can improve communication and transparency within all of Encore's operations, Encore stakeholders, and HUSD. If you have any questions, please do not hesitate to ask.

Board On Track -

Last month, our board voted to start the use of the service platform "Board On Track." This service helps us streamline, formalize, and regulate all of our board meetings. Last night's meeting was the first time that the platform was used for our Board meetings. We are pleased with how this platform has helped us with the creation of our agendas. As we continue to onboard the program, it has several features that are going to help us share our Board successes.

Staff Liaison Report -

Every month, our staff elected liaison (Mr. Waggoner) gives a report to the school board to help temper communication between the board and the staff. Last night's report was heartfelt as he shared his recounting of a memorial service for one of our English Teachers (Mr. Wise) that passed away last month unrelated to COVID.

H&R Bookkeeping Proposal -

After a recommendation from HUSD, Encore's Board voted to contract with H&R Block for monthly bookkeeping services for the Student Services Debit Account. This service will review and reconcile the account activity every month for this debit account. This service will be in addition to the Controller role that Encore is adding on campus in the early spring. As part of this contract, Encore will be giving HUSD access to review the bookkeeping reports completed by H&R Block and conference with the bookkeeper from H&R Block if requested.

Conflict of Interest Code & Bylaws -

After HUSD staff recommendation, Encore's Board voted to adopt a new Conflict of Interest Code and new Bylaws to reflect the changes in charter law.

National Clearinghouse Contract -

After HUSD staff recommendation, Encore's Board voted to contract services with National Clearinghouse. This service will give Encore Nationally recognized post secondary data regarding Encore alumni.

Fiscal Reporting -

As is typical with every Board meeting, Encore's Board accepted consent items for STRS / PERS / 403B payments, Summaries of all warrants, attendance reports, and all student service debit account activity for July, August, September, and October of 2020.

First Interim Budget -

With unanimous approval, Encore's first interim budget was adopted. This budget shows a projected budget surplus of $1,017,522, improving ending balance from $5,402 to $1,022.94 or 9% of expenditures. This will allow Encore to continue reducing short - term debt and improving cash reserves. This comes from adjustments across the board to reflect changes due to COVID-19 closures and the reduction of workforce at Encore going into the 20/21 school year.

We also had some great reports given to the Board by our ASB Director, Assistant Dean of Academics (benchmarks were discussed), Math/Science Department Chair (the challenges and successes of online learning was discussed), and our Assistant Dean of Student Services (CALPADS reporting and cohorts were discussed for SPED).
